Japan Scholarship Application Timeline

Planning early is the biggest advantage when applying to Japan.

1.     12–10 Months Before Intake (April–May)

This is the preparation phase. Students should research Japanese universities, programs, and scholarship types such as MEXT, JASSO, ADB-JSP, and university scholarships. Academic documents should be reviewed, passports checked for validity, and English/Japanese language preparation started.

For MEXT applicants, this is the time when the Japanese Embassy in Nepal officially announces the scholarship.

2.     9–8 Months Before Intake (May–June)

Students submit the MEXT application to the Japanese Embassy. This includes all required documents like academic transcripts, research plan, and recommendation letters. This stage is highly competitive. After document screening, shortlisted candidates are called for:

·        Written examinations (English, Japanese, subject tests)

·        Embassy interview

3.     7–6 Months Before Intake (July–August)

Candidates who pass the embassy stage receive a Letter of Recommendation from the Embassy.
Now students must:

·        Contact Japanese universities

·        Request Letters of Provisional Acceptance

·        Communicate with professors (for research students)

4.     5–4 Months before Intake (September–October)

All documents are forwarded to Japan’s Ministry of Education (MEXT) for final screening.
This is a waiting period, but students should stay alert for additional document requests.

5.     3–2 Months Before Intake (December–January)

Final results are announced. Successful students receive:

·        Official scholarship confirmation

·        University placement

·        Visa guidance

6.     1 Month Before Departure (February–March)

 Then begins the journey to Japan. Students complete:

·        Student visa application

·        Pre-departure orientation

·        Travel arrangements

Applying for Japanese scholarships requires careful timing. Unlike many Western countries, Japan follows a strict and predictable annual schedule, especially for the MEXT scholarship. Missing a deadline often means waiting another full year. Final results are usually announced between December and January. Once selected, students begin visa processing, pre-departure orientation, and travel planning. Most students depart for Japan between March and April, depending on their program start date. Understanding this calendar helps Nepali students plan exams, documents, finances, and language preparation without stress.
