Complete MEXT Scholarship Checklist for Nepali Students (2026)

For thousands of Nepali students, the MEXT Scholarship represents more than free education, it is a once-in-a-lifetime opportunity to study in Japan with full financial support, global exposure, and long-term career impact. However, the application process is highly competitive, and success depends heavily on preparation, timing, and attention to detail.

This complete checklist is designed to help Nepali applicants avoid common mistakes and confidently move through every stage of the MEXT application process.

1. Eligibility Check (Before You Start)

Before preparing documents, students must ensure they meet MEXT’s basic requirements. Applicants must be Nepali citizens with a strong academic record relevant to the scholarship category they are applying for (Undergraduate, Research, Master’s, or PhD).

Age limits apply strictly and vary by category. For research students, applicants are usually required to be under 35 years old at the time of application. Applicants must also be in good physical and mental health and willing to learn the Japanese language, even if the course is taught in English.

Students who already hold Japanese government scholarships or are currently studying in Japan under another funded program are generally not eligible.

2. Academic Documents Checklist

Academic documents form the backbone of your application and must be accurate, complete, and consistent.

You will need official transcripts of all academic levels completed so far, including SEE/SLC, +2, Bachelor’s, or Master’s (depending on your category). Graduation certificates or provisional certificates must also be included.

All documents should be clear photocopies of originals. If documents are in Nepali, official English translations must be provided. Mismatched names, dates, or grades can lead to rejection, so careful verification is essential.

3. Research Plan / Study Plan

For research students, the Research Plan is the single most important document in the MEXT application. It must clearly explain:

·       Your academic background

·       Your proposed research topic

·       Research objectives and methods

·       Why Japan is the best place for this research

·       How your study will benefit Nepal after completion

The plan should be realistic, focused, and written in simple, clear English. Japanese evaluator’s value clarity and purpose more than complex language. Plagiarism or copied content can result in immediate rejection. Undergraduate applicants must submit a Study Plan explaining their field of interest and future goals.

4. Recommendation Letter

Applicants must submit a confidential recommendation letter from a university professor, department head, or academic supervisor. For undergraduate applicants, the recommendation usually comes from the school principal or head teacher. The letter must:

·       Be written on official letterhead

·       Be signed and stamped

·       Be placed in a sealed envelope

A weak or generic recommendation can harm even strong applications, so students should request letters from someone who genuinely knows their academic abilities.

5. Medical Examination Report

All applicants must submit a MEXT-prescribed medical certificate, completed by a registered medical doctor. The medical test includes:

·       Physical examination

·       Vision and hearing check

·       Chest X-ray

·       Blood and urine tests

Incomplete or incorrect medical forms are a common reason for disqualification. The form must be filled exactly according to embassy instructions.

6. Embassy Submission Checklist (Nepal)

Nepali students apply for MEXT through the Embassy of Japan in Kathmandu (not directly to universities at first). Late submissions are not accepted under any condition. Before submission, ensure:

·       All documents are arranged in the correct order

·       No extra or missing documents are included

·       Application forms are typed or neatly written

·       Photographs meet embassy specifications

7. Written Examination Preparation

Even if your program is in English, basic Japanese exam preparation is strongly recommended. These exams test understanding, not fluency. Shortlisted candidates must sit for written exams, usually in:

·       English

·       Japanese (basic level)

·       Subject-related papers (for some categories)

8. Interview Readiness Checklist

The interview assesses your motivation, clarity, maturity, and future vision. Dress formally, speak honestly, and remain calm. Confidence and sincerity matter more than perfect language. Prepare answers for:

·       Why Japan?

·       Why your chosen field?

·       What will you do after returning to Nepal?

·       How will your research benefit Nepal?

9. University Contact & Provisional Acceptance

After passing the embassy stage, research students must contact Japanese universities and professors to request a Letter of Provisional Acceptance. Not receiving acceptance from at least one university may affect final selection. This requires:

·       A professional email

·       Clear explanation of your research

·       Patience and follow-up

10. Final Selection & Pre-Departure Checklist

MEXT covers tuition, airfare, accommodation support, and a monthly stipend, making financial preparation minimal but mental and cultural readiness is crucial.

Once selected by MEXT in Japan, students must:

·       Apply for a student visa

·       Attend pre-departure orientation

·       Prepare travel documents

·       Learn basic Japanese language and culture

·       Plan accommodation and arrival procedures

The MEXT Scholarship is not won by luck, it is earned through discipline, planning, and patience. Many Nepali students fail not due to lack of talent, but due to incomplete documents, weak research plans, or missed deadlines.

Starting early, staying organized, and understanding each step clearly can turn this dream into reality.
